Keep a protected original
Retain the original file unchanged in your own records. Work on a clearly labeled sharing copy and note the document date and equipment reference. This lets you answer later questions about the source without treating an edited copy as the original. Use a consistent filename so redacted and unredacted versions are not easily confused.
Separate useful facts from unrelated information
Preserve equipment identity, dates, reported hours, work descriptions and findings needed for review. Consider removing unrelated account numbers, other customers’ information, personal contact details and financial information that does not support the equipment assessment. Do not remove defects or adverse findings merely because they weaken the sales presentation.
Check the final file itself
Use a document tool’s actual redaction feature when available and follow its instructions. A dark shape placed over text may leave the underlying text accessible. Inspect the exported copy, including text selection, search, comments and attachments. If you cannot verify that sensitive content is removed, obtain a properly prepared copy before sharing it.
Explain the editing without overstating authenticity
Label the file as a redacted copy and describe the categories removed. If an equipment identifier must be withheld during initial review, disclose that limitation and arrange a controlled verification process through the agreed channel. Do not imply that a partial document is a complete, unmodified report. Keep buyer questions tied to the specific document version.
