Choose stable image references
Use short labels such as P01, P02 and P03 with a unit reference. Avoid filenames that depend on the order a phone happens to export images. Keep the same reference when discussing a photo with a reviewer, and give a replacement image a new version or date so older comments remain understandable.
Write factual captions
For each image, record what it shows, where it was taken and the date if known. A caption such as P04: left enclosure door, dent near lower hinge is more useful than damage photo. Describe observations without turning a close-up into a diagnosis or a claim about the entire unit.
Connect details to an overview
Pair a close-up with a wider image that establishes location. Link plate photos to the complete unit reference and accessory photos to the inventory. If two images look almost identical, explain the difference or remove the redundant copy from the sharing package while retaining your originals.
Review the index as a remote reader
Ask whether someone who has never visited the site can identify the machine, locate the issue and understand what is included. Mark inaccessible areas rather than pretending the photo set covers everything. Keep the final index with the dated package and update it when equipment condition or sale scope changes.
