Identify exactly what changed

Ask for the revised equipment amount, terms, expiry and included removal services in writing. Determine whether the buyer changed only price or also changed scope, deadlines or conditions. A lower amount with a different collection arrangement cannot be understood by comparing the two headline numbers alone.

Tie the explanation to a finding

Request the relevant observation or report and the equipment reference it concerns. Distinguish newly identified information from a defect already disclosed in the package. Do not guess at repair needs or accept a vague problem description as a complete technical explanation; request qualified clarification when necessary.

Update the comparison consistently

Recalculate seller-paid costs using the revised terms, leaving unquoted expenses visible. If considering other proposals, check that they remain valid and were based on the same condition information. Share substantive corrections through the agreed process so competing offers are evaluated against a consistent package.

Preserve both versions

Record whether the revised bid was accepted, declined or remains under discussion. Keep the original bid as historical, not as a second independent offer for the same current decision. Document the outcome and the package version used so later pricing analysis can distinguish initial interest from an actionable proposal.
