Define your authorized role
Agree with the responsible owner representative on whether you gather information, coordinate inspections, discuss offers or handle other named tasks. Use the owner’s normal authorization process. Do not imply you can accept an offer or release equipment merely because you have access to the site or records.
Keep equipment facts attributable
When entering information supplied by the owner or site team, preserve the source and date in your working notes. Attach supporting photos and documents where available. Avoid filling gaps from experience with similar units; a listing on someone else’s behalf still needs evidence tied to the actual generator.
Create a clear question route
Identify who answers technical history questions, who approves commercial changes and who controls site access. Tell buyers when a response is pending from that person. This prevents a scheduling conversation from being mistaken for a confirmed change to sale terms or equipment scope.
Maintain an approval trail for updates
Send substantive corrections and proposed scope changes through the agreed review process. Keep the final description and offer associated with the owner’s decision. If your role ends, hand over the current package, unresolved questions and contact responsibilities so the next coordinator does not restart from incomplete correspondence.
