Inventory the documents by subject
List document title, manufacturer, model coverage, publication identifier and revision where shown. Identify whether it concerns the generator set or a component. Keep the document’s language and format visible in the index. Do not rename an engine manual as the complete generator manual.
Check the equipment match
Compare the stated model and specification coverage with your set and installed components. Use the manufacturer’s official document resources where available. If the match is uncertain, label the manual as general reference material rather than implying that every instruction or specification applies.
Preserve revisions and supplements
Keep applicable supplements with the main document and note known component changes that may require different references. Avoid combining pages from different revisions into a file that looks like one original manual. Retain the source of each document so a reviewer can resolve uncertainty.
Do not confuse manuals with condition records
A manual explains a product or procedure; it does not establish that the equipment was maintained, tested or repaired accordingly. Keep service evidence in a separate section. Provide the manual package as reference support without using it to fill gaps in the generator’s actual history.
